About us
CAI Systems is a South African company that automates the repetitive work inside organisations. Everything we sell, we built for our own operations first — the reporting product, the lead pipeline, the WhatsApp agent. That is not a positioning line. It is the reason we can tell you honestly which automations are worth paying for and which ones are not.
Why this company exists
Most South African businesses already pay for the tools. What they do not have is the connective tissue between them. The enquiry arrives in one place, the quote lives in another, the follow-up depends on someone remembering, and the monthly report is assembled by hand from three exports.
Nothing in that chain is hard. It is just nobody's actual job. So it happens late, it happens inconsistently, and the person doing it is usually the person you least want doing data entry.
That gap is what CAI Systems automates. Not “AI transformation” — the specific, boring, repeatable sequences that quietly cost an organisation a day a week.
How we work
We start by watching what actually happens, not by reading the process document. The gap between the two is usually where the real cost is — and sometimes it is where we find that the right answer is a changed process, not software.
Automation projects fail by trying to do everything at once. We ship the highest-value workflow, prove it in production, and only then scope the next. Each one stands alone, so stopping after the first is a legitimate outcome.
Every build is handed over with a runbook: what it does, what it touches, and how to switch it off. Agents run under your own accounts. If you stop working with us, nothing of yours leaves with us.
What we won't do
If a step only exists because of an old decision nobody has revisited, the honest recommendation is to delete the step, not to make it run faster. We say so in Discovery, even though it is the cheaper outcome for us.
Our WhatsApp agent stops the moment a conversation becomes commercial. It will not quote a price it wasn't given, negotiate, or promise a date. A handover costs nothing; a confident wrong answer costs the customer.
There is a popular shortcut that pairs a bot with a phone by scanning a QR code. It works, it is cheap, and it violates WhatsApp's Terms — numbers using it get banned permanently. We only use Meta's official Business Cloud API, even though it is slower to set up.
Every priced item on this site corresponds to work that actually exists. Where a capability is still being built, it is not on the checkout — it is on a waitlist, and it says so.

CAI Systems operates from South Africa and works with South African organisations. That matters more than it sounds: pricing is in rands and settled through PayFast, data handling is built around POPIA rather than retrofitted to it, and the WhatsApp work is designed around how South Africans actually buy — which is, very often, on WhatsApp.
Engagements run remotely by default, with on-site sessions where mapping a process genuinely needs someone in the room.
